Build in a contingency

A buffer of about 10 percent covers the small overruns that always show up: an extra table of food, more shirts than you counted, last-minute supplies. Set it higher for a first-year reunion when your numbers are still guesses.

Not everyone pays dues

Children usually attend free, and some families cover elders or those traveling far. The calculator lets you set the share of attendees who actually pay, so the dues figure reflects who is really chipping in, not the raw headcount.

Confirm your headcount before you commit money

Catering and shirts scale directly with attendance, so a firm RSVP count is what keeps the budget honest. Collect a real yes, maybe, or no from each household before you put down deposits.
